Why we collect your personal information

The Queensland University of Technology is collecting and processing your personal information to:

  • administer your account registration
  • communicate with you about areas of study, courses, programs or events in which you have expressed interest, enrolled or registered to attend
  • manage your enquiry, enrolment or attendance in course, program or event
  • improve our products and services, including your user experience
  • inform general business analysis, quality assurance, reporting and planning activities
  • utilise your data to provide relevant digital content and communications
  • use your data to enhance your experience when utilising the university’s digital assets.

The “processing" of personal information refers to all activities relating to the management of your personal information, from its collection and use, through to its storage and disposal, and everything in between.

How we collect and process your personal information

We will process your personal information as necessary for our legitimate interests in accordance with applicable privacy laws, and only under the following circumstances:

  • for the purpose for which it was collected
  • for a related purpose which you might reasonably expect
  • where you have consented
  • if we are required or permitted to do so by law.

We will collect your personal information directly from you wherever possible.

We may share your personal information with:

  • education providers to administer cross-institution enrolments (where you are a cross-institution student or student enrolled with QUT and another provider under an approved arrangement)
  • education providers, postgraduate@QTAC, My eQuals and admission centres to verify academic information or transcripts
  • scholarship providers and student sponsors where there is a written agreement between the student and the provider or sponsor, or the student has authorised the release
  • the Australian chapter of the Golden Key Honour Society (an organisation which recognises high achievement in university studies).
  • contracted service providers engaged by us to conduct market research or other marketing-related services, including IT and Customer Relationship Management (CRM) services
  • contracted service providers engaged by us to run events or facilitate event services
  • social media and other platforms to communicate or promote our services directly to you and other users via these channels
  • where authorised or required by law.

Your de-identified information may also be disclosed to social media and other digital platforms to create audiences for targeted advertising via these channels.

In some instances, your personal information may be transferred outside of Queensland or Australia (for example, where providers are located internationally or use a cloud-based system with servers based in international jurisdictions). We take all reasonable steps to ensure that the interstate or overseas transfer of personal information is in accordance with our privacy obligations as outlined in the University’s Privacy Statement.

If you choose not to provide the contact information requested, we may not be able to create your account, register your attendance for or provide you with information about the course, program or event for which you expressed interest.

Your rights

You may request access to, or amendment of, your personal information we hold, or exercise your individual rights as applicable under relevant privacy laws, unless this would have an unreasonable impact on the privacy of others or would contravene the University’s other legislative obligations.

If the lawful collection of your personal information is based on your consent, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of our processing of your information prior to you withdrawing your consent.
